Marlow Explorers respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains how personal information is collected, used, stored and shared when you visit the Marlow Explorers website, complete one of our forms, join our mailing list or WhatsApp communities, register an interest in a club or activity, attend an event, make an enquiry, interact with our content or otherwise engage with Marlow Explorers.
It also explains your rights under UK data protection law.

However, certain information may be required where necessary to process an event registration, booking, payment or other request.
Information collected when you use our website
Depending on the technologies enabled on the website and your cookie choices, we may collect information including:
- IP address;
- browser type;
- device type;
- operating system;
- approximate location derived from technical information;
- referring website or campaign;
- pages visited;
- links clicked;
- date and time of visits;
- interactions with the website;
- cookie identifiers;
- advertising or analytics identifiers; and
- information about how you arrived at and use the website.
Further information about these technologies is provided through our cookie consent system and, where applicable, our Cookie Policy.
Marketing engagement information
Where our communications platform provides this functionality, we may collect information about interactions with our communications, such as:
- whether an email was delivered;
- whether it was opened;
- links clicked;
- subscriptions and unsubscribes;
- communication preferences; and
- areas of apparent interest.
We may use this information to understand the effectiveness and relevance of our communications.
4. Information submitted through NeetoForm
Marlow Explorers currently uses NeetoForm, a service provided by Neeto LLC, to operate certain online forms.
This may include forms used for:
- joining Marlow Explorers;
- registering interests;
- joining clubs or communities;
- event registrations;
- surveys;
- enquiries;
- feedback; and
- other information submitted to us through a form.
When you complete one of our NeetoForm forms, the information you enter is submitted to and processed through Neeto’s systems on behalf of Marlow Explorers.
For information submitted through forms created by Marlow Explorers:
Marlow Explorers remains the data controller and Neeto acts as a data processor.
This means Marlow Explorers determines why the information is collected and how it will be used, while Neeto processes the information to provide its form service to us.
Information processed through NeetoForm may include, depending on the particular form:
- name;
- email address;
- telephone number;
- interests and preferences;
- form answers;
- event or activity information;
- enquiries;
- files or attachments where enabled;
- IP address and technical information; and
- other information you choose to submit.
Neeto may also collect its own technical, security and service information in accordance with its own privacy policy where it acts as an independent data controller.
Neeto operates its production services using Amazon Web Services infrastructure located in the United States. This means information submitted through a Marlow Explorers form may be transferred to and processed in the United States.
Neeto maintains a Data Processing Agreement governing its processing of customer data and states that appropriate international-transfer safeguards are used where required by applicable UK and European data protection law.
Neeto also uses approved subprocessors to help provide its services.
We periodically review the third-party services we use and may replace NeetoForm with another suitable provider in the future. If a change materially affects how your information is processed, we will update this Privacy Policy as appropriate.
5. Where else we obtain information from
Most personal information is provided directly by you.
We may also obtain information from:
- our website;
- forms operated on our behalf;
- email and communications platforms;
- WhatsApp and other social or messaging platforms when you communicate with us;
- payment providers;
- event or activity partners where relevant;
- publicly available websites and directories;
- official business websites;
- public social-media or professional pages; and
- businesses or organisations that provide information for inclusion in the Marlow Explorers directory.
Where we obtain personal information about an individual from another source, we will provide appropriate privacy information where required by law.
6. Your interests and preferences
A central purpose of Marlow Explorers is helping people discover activities and experiences that are relevant to them.
We may therefore ask you about interests such as:
- gastronomy and dining;
- padel;
- golf;
- walking;
- sport and fitness;
- wellness;
- social events;
- local activities;
- day trips;
- weekends away;
- travel; and
- other clubs, communities and experiences.
We may use these preferences to organise subscribers into audience segments.
For example, someone who has expressed an interest in gastronomy may receive information about a tasting event, restaurant experience or relevant partner promotion, while someone interested in padel may receive information about local games or padel events.
We may also use engagement information, such as the types of emails you interact with, to improve the relevance of future communications.
This involves a limited form of profiling based on interests and engagement.
We do not use this information to make solely automated decisions about you that produce legal or similarly significant effects.
7. How we use your information and our lawful bases
UK data protection law requires us to have a lawful basis for processing personal information.
Depending on the circumstances, we may rely on the following bases.
Contract or steps before entering into a contract
We may process information where necessary to:
- process a booking;
- reserve an event or activity place;
- administer a paid service;
- process a business listing;
- respond to a request for a quotation;
- arrange an activity you have requested; or
- otherwise provide a service you have asked us to provide.
Legitimate interests
We may process information where necessary for our legitimate business interests, provided those interests are not overridden by your rights and interests.
These interests may include:
- operating Marlow Explorers;
- managing clubs and communities;
- organising activities;
- responding to enquiries;
- understanding what our audience is interested in;
- improving our website and services;
- developing new events and communities;
- measuring the effectiveness of communications;
- maintaining accurate business and directory information;
- protecting our website and systems;
- preventing misuse and fraud;
- maintaining appropriate business records;
- promoting Marlow Explorers;
- selecting relevant content for subscribers who have chosen to receive communications;
- documenting and promoting events through appropriate photography or video; and
- establishing, exercising or defending legal claims.
Where we rely on legitimate interests, we consider the nature of the information, what people reasonably expect and the potential impact of the processing.
Consent
We rely on consent where required, including for certain forms of:
- email marketing;
- WhatsApp marketing;
- non-essential cookies or tracking technologies;
- special-category personal information; and
- other processing where consent is the appropriate lawful basis.
You can withdraw consent at any time.
Withdrawing consent does not affect processing that was lawful before consent was withdrawn.
Legal obligation
We may process information where necessary to comply with legal, tax, accounting, regulatory or law-enforcement obligations.
8. Email, WhatsApp and direct marketing
We may send communications about:
- local news and recommendations;
- Marlow Explorers communities;
- padel, golf and other sporting activities;
- gastronomy events;
- social activities;
- local events;
- trips and experiences;
- new clubs and communities;
- relevant businesses;
- competitions;
- offers;
- partner opportunities;
- sponsored promotions; and
- other Marlow Explorers services.
Where required by the Privacy and Electronic Communications Regulations, we will obtain appropriate permission before sending direct marketing by email, WhatsApp, text message or similar electronic communication.
When consent is required, we will seek a clear affirmative opt-in.
We may also send marketing without fresh consent where a specific legal exception, such as the existing-customer soft opt-in, is lawfully available and appropriate.
Every marketing communication will provide an appropriate way to unsubscribe or opt out.
You may object to direct marketing at any time.
If you unsubscribe, we may retain limited information on a suppression list to ensure we do not accidentally add you back to marketing you have declined.
Operational communications that are genuinely necessary for an event or service you have requested are not treated as marketing.
For example, we may contact you about a change to the time or location of an activity for which you have registered.
9. Other trading names operated by Cameron Lloyd Bailey
Cameron Lloyd Bailey also operates other trading names, which currently include:
- Nomadical Tracks
- The Tasting Society
- Marlow Padel
These are trading names operated by the same sole trader rather than separate legal companies.
However, registering with Marlow Explorers does not automatically mean that you will be added to separate marketing lists for these other brands.
Where a Marlow Explorers signup or consent statement clearly explains that your permission includes relevant communications from one or more of these trading names, we may send those communications in accordance with that permission.
For example:
- someone who has expressed an interest in travel may be shown a relevant Nomadical Tracks experience;
- someone interested in gastronomy may be shown a relevant Tasting Society event; or
- someone interested in padel may receive a relevant Marlow Padel opportunity.
We will not use your information for unrelated cross-brand marketing where doing so would be inconsistent with what you were told when your information was collected.
We do not sell Marlow Explorers subscriber information to these brands or to third parties.
10. Sponsored communications and advertising partners
Marlow Explorers may generate revenue from:
- sponsorship;
- promoted businesses;
- paid directory listings;
- sponsored content;
- advertising;
- promotional campaigns;
- partnerships; and
- commissions or referral arrangements.
We may use your stated interests to determine whether a particular sponsored or partner communication is relevant to you.
For example, a restaurant may pay Marlow Explorers to promote an event to subscribers who have expressed an interest in gastronomy.
In this situation, Marlow Explorers sends the communication.
The restaurant does not receive the email addresses, telephone numbers or other directly identifying details of the audience merely because it paid for the campaign.
We may provide a partner with aggregated or anonymised campaign information, such as:
- number of recipients;
- number of clicks;
- overall engagement; or
- number of enquiries generated.
Aggregated information that cannot reasonably identify an individual is not personal information.
11. We do not sell subscriber lists
We do not sell lists of Marlow Explorers subscribers, members or community participants to advertisers.
We do not provide your email address, telephone number or other directly identifying information to a business simply because that business has paid to advertise through Marlow Explorers.
12. When we may share information with another business
We may share personal information where it is necessary to fulfil something you have specifically requested.
For example, if you ask us to:
- make a booking;
- request availability;
- arrange an event;
- reserve an activity;
- obtain information from a venue;
- make an introduction; or
- pass an enquiry to a relevant provider,
we may provide that business with the information reasonably necessary to deal with your request.
Recipients might include:
- restaurants;
- event venues;
- padel or sports facilities;
- golf clubs;
- accommodation providers;
- activity providers;
- transport providers;
- travel providers;
- event partners; or
- other relevant suppliers.
We will not disclose more information than is reasonably required.
Where the receiving organisation independently determines how it uses your information, it will generally act as a separate data controller and its own privacy policy will apply.
13. Events and activities
Where you register for an event or activity, we may process information necessary to:
- administer your registration;
- take payment where applicable;
- communicate event information;
- allocate places;
- organise teams or playing groups;
- match participants by ability or interests;
- manage attendance;
- communicate important safety or logistical information;
- accommodate relevant dietary or accessibility requirements; and
- deal with incidents or complaints.
Depending on the circumstances, our lawful basis will generally be contract, steps taken at your request before entering into a contract, legitimate interests, consent or legal obligation.
14. Dietary, accessibility and health information
Certain events may require us to ask about:
- food allergies;
- dietary requirements;
- accessibility requirements;
- injuries;
- relevant health conditions; or
- other information necessary to participate safely or appropriately.
Some of this information may constitute special-category personal data, particularly where it reveals information about health or religious beliefs.
We only request this type of information where it is relevant.
Where special-category information is processed and explicit consent is the appropriate legal condition, we will ask for that consent separately and clearly.
We may share necessary information with a venue or activity provider where required to meet your stated requirement.
We will not use this information for unrelated marketing or profiling.
15. Photography and video at events
Photographs or video may be taken at Marlow Explorers events and activities.
Material may be used for purposes including:
- documenting the event;
- Marlow Explorers social media;
- our website;
- editorial content;
- promotion of future events; and
- Marlow Explorers marketing.
Where appropriate, we may rely on our legitimate interests in documenting and promoting our activities.
Where consent is the more appropriate basis because of the nature of the photography, intended use or circumstances, we will seek consent.
We will aim to provide reasonable notice where organised photography or filming is taking place.
If you do not wish to appear in identifiable photography or video, please tell the organiser or photographer where reasonably possible.
We will consider reasonable requests concerning identifiable photographs already published, although there may be circumstances where removal is not legally required or reasonably practicable.
16. WhatsApp communities and groups
Marlow Explorers may operate WhatsApp groups, communities, broadcasts and direct communications.
If you join a WhatsApp group or community, information associated with your WhatsApp account may be visible to Meta, Marlow Explorers and potentially other members depending on the type of group, WhatsApp functionality and your account settings.
This may include:
- your mobile number;
- profile name;
- profile photograph;
- messages;
- reactions; and
- other content you choose to share.
You should not post information to a group that you do not want other members to see.
WhatsApp is operated by a Meta group company and is also subject to its own privacy terms.
Leaving a WhatsApp group does not necessarily withdraw separate email marketing permission, and unsubscribing from email does not necessarily remove you from a WhatsApp community.
You can opt out of each communication method separately.
17. Business, restaurant and club listings
Marlow Explorers may publish information about local:
- restaurants;
- cafés;
- pubs;
- clubs;
- sports organisations;
- venues;
- attractions;
- community organisations; and
- businesses.
Restaurants, clubs and similar organisations may be included editorially using publicly available information.
Commercial businesses may also purchase or otherwise arrange enhanced or paid listings.
Information may be obtained from:
- official websites;
- Google or other public business listings;
- public social-media profiles;
- publicly available directories;
- the organisation itself; or
- other legitimate public sources.
Information about a limited company or organisation will often not constitute personal information. However, information about sole traders or identifiable individuals may do so.
Where personal information is used to operate the directory, we may rely on our legitimate interests in publishing an accurate and useful local directory.
If information concerning you is inaccurate or you have a privacy concern about a listing, please contact us.
18. Service providers
We use third-party companies to help operate Marlow Explorers.
Depending on which services are enabled, these may include providers of:
- website hosting;
- WordPress services and plugins;
- online forms, including NeetoForm;
- email and CRM services, including Brevo or equivalent services;
- cloud storage;
- payment processing, including Stripe or equivalent services;
- WhatsApp and Meta services;
- analytics;
- advertising technology;
- website security;
- booking and event systems;
- accounting;
- professional advice; and
- other IT infrastructure.
Where these providers process personal information solely on our instructions, they act as processors and we remain responsible for the relevant processing.
Some providers may act as independent or joint controllers for particular services. Where this applies, their own privacy information may also apply.
We may change technology suppliers from time to time.
We will update our privacy information where a change materially affects how your personal information is processed.
19. Payments
Where Marlow Explorers accepts payments, these may be processed by a specialist payment provider such as Stripe.
Payment processors may collect information including:
- name;
- billing information;
- payment method;
- card or account information;
- transaction identifiers; and
- fraud-prevention information.
Full payment-card information is generally collected directly by the payment provider rather than stored by Marlow Explorers.
Payment providers may act as independent controllers for some of their processing and their own privacy policies will apply.
20. Cookies, analytics and advertising technologies
Our website uses or may use storage and access technologies such as:
- cookies;
- analytics technologies;
- pixels;
- scripts;
- advertising tags;
- local storage; and
- similar technologies.
These may support:
- essential website functionality;
- security;
- remembering preferences;
- measuring website usage;
- understanding how visitors arrive at the website;
- improving the website;
- measuring marketing performance; and
- advertising.
Depending on what is enabled, providers may include services from organisations such as Google, Meta, LinkedIn, Microsoft or similar technology providers.
Where the law requires consent before a particular technology is placed on or accesses information on your device, we will request that consent through our cookie management system.
Technologies falling within a lawful exception may be used without consent where the relevant legal requirements are satisfied.
You can manage available choices through the website’s cookie controls.
We will update our cookie information as technologies used by the website change.
21. International transfers
Some organisations that provide technology or other services to Marlow Explorers process information outside the United Kingdom.
In particular, information submitted through NeetoForm may be processed and stored in the United States, including through Amazon Web Services infrastructure.
Neeto also uses subprocessors, principally located in the United States, to operate its services.
Where this results in a restricted international transfer of personal information, we require or rely on an appropriate transfer mechanism permitted by UK data protection law.
Depending on the provider and circumstances, these safeguards may include:
- UK adequacy regulations;
- an applicable UK-US adequacy arrangement;
- the UK International Data Transfer Agreement;
- the UK Addendum to approved EU Standard Contractual Clauses;
- approved Standard Contractual Clauses combined with appropriate UK safeguards;
- another approved safeguard; or
- an applicable legal exception.
Neeto’s Data Processing Agreement provides for appropriate contractual transfer safeguards for customer personal information transferred outside the UK or EEA.
Where required, appropriate transfer-risk assessments and supplementary protections may also be used.
22. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including legal, accounting and regulatory requirements.
Our general approach is:
Marketing subscribers
We retain your marketing information while you remain subscribed.
We may periodically review subscribers who have not engaged with Marlow Explorers for a prolonged period and delete or anonymise information that is no longer reasonably required.
If you unsubscribe, we may retain enough information on a suppression list to ensure your opt-out continues to be respected.
Form submissions
Information submitted through NeetoForm or another form service may remain in our form-management systems while it is reasonably required for the purpose for which it was collected.
We may delete, export or transfer form submissions to another appropriate system as our technology changes.
Our technology providers may retain limited backup or residual copies for a period after deletion in accordance with their own contractual retention and security processes.
Enquiries and general correspondence
Routine enquiries may generally be retained for up to 24 months after the last meaningful contact, unless there is a reason to retain them for longer.
Event and booking records
Records relating to payments, bookings, contracts, invoices or potential legal claims may generally be retained for up to six years after the relevant transaction or event where appropriate.
Health, allergy and other sensitive event information
Information collected solely to accommodate a health, allergy, dietary or accessibility requirement will normally be deleted when it is no longer reasonably required after the event.
We will not retain special-category information merely because the rest of the booking record is retained.
Information may be retained for longer where an incident, dispute, insurance issue or legal obligation makes this necessary.
Business listing information
Information associated with a business listing may be retained while the listing is active and for a reasonable period afterwards for administration, accounting, disputes and historical records.
Consent records
We may retain records showing when and how consent was obtained or withdrawn for as long as reasonably necessary to demonstrate compliance.
Website and analytics information
Retention depends on the particular technology used and will be configured proportionately to its purpose.
We may retain anonymised statistical information indefinitely where it can no longer reasonably identify an individual.
23. Security
We take reasonable technical and organisational measures designed to protect personal information against:
- unauthorised access;
- unlawful use;
- loss;
- disclosure;
- alteration; and
- destruction.
Measures may include:
- restricting access to personal information;
- using reputable service providers;
- password and account security;
- appropriate authentication;
- software updates;
- encrypted connections;
- backups; and
- appropriate security controls within our technology platforms.
No internet-based system can be guaranteed to be completely secure.
24. Links to other websites
Marlow Explorers may link to restaurants, businesses, venues, clubs, booking platforms, travel companies and other third-party websites.
When you leave Marlow Explorers and interact directly with another organisation, that organisation is responsible for its own processing of your personal information.
You should review its privacy information where appropriate.
25. Your rights
Subject to the circumstances and applicable law, you may have rights to:
- be informed about how your personal information is used;
- request access to personal information we hold about you;
- request correction of inaccurate personal information;
- request deletion of personal information;
- request restriction of processing;
- object to certain processing based on legitimate interests;
- object to direct marketing at any time;
- withdraw consent where processing relies on consent;
- receive certain information in a portable format where the right to data portability applies; and
- raise concerns about solely automated decision-making where applicable.
These rights are not absolute and may not apply in every circumstance.
To exercise a data protection right, email:
We may need to request reasonable information to verify your identity before fulfilling certain requests.
26. Your right to object to direct marketing
You have the right to object at any time to the use of your personal information for direct marketing.
You can do this by:
- using an unsubscribe link in an email;
- following an opt-out mechanism contained in a message;
- leaving or opting out of a relevant WhatsApp marketing channel; or
- emailing hello@marlowexplorers.co.uk.
We will action valid marketing opt-outs as required by law.
27. Complaints
If you are concerned about how Marlow Explorers has used your personal information, please contact us first at:
You also have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator.
Further information is available from the ICO at ico.org.uk.
28. Children
Marlow Explorers is intended for people aged 18 and over.
We do not knowingly invite people under 18 to subscribe directly, create community memberships or make bookings with us.
Where an event or activity is suitable for children or families, the relevant booking or communication should be handled by a parent or legal guardian.
If we become aware that personal information has been provided directly by someone under 18 in circumstances where it should not have been collected, we may delete it.
29. Changes to this Privacy Policy
We may update this Privacy Policy where:
- our services change;
- we introduce new technology;
- our use of personal information changes;
- our service providers change materially; or
- legal or regulatory requirements change.
The latest version will be published on the Marlow Explorers website with an updated revision date.
Where we intend to make a material new use of personal information that people would not reasonably expect, we will provide appropriate notice before beginning that processing and obtain new consent where required.
